Although Smile Solutions had a polished beta interface, key workflows weren't robust enough for real clinic operations. Registration relied on patient initiation, communication was fragmented, and appointment history, treatment tracking, and multi-doctor support were limited.

I redesigned the platform around clinic-led workflows, expanding onboarding, scheduling, patient communication, and billing into a more complete operational system while keeping the experience simple and consistent.

I inherited an early beta and led the redesign of the B2B clinic experience, improving workflow consistency, scalability, and usability. Following launch, the platform expanded across 3 countries, 19 partner clinics, and 6+ treatment offerings.

Before redesigning the interface, I focused on understanding how clinics actually worked. Through stakeholder interviews, clinic visits, and competitive analysis, I mapped appointment management, treatment coordination, and patient communication workflows. These insights shaped a more clinic-first platform that balanced operational depth with a simple, consistent experience.

understanding the gap

Before redesigning the interface, I wanted to understand how the beta actually held up in day-to-day clinic use — not just how it looked. I conducted an in-depth interview with Dr. Yim, a partner clinic doctor, alongside a review of comparable dental SaaS tools like Dentrix and Open Dental to understand where Smile Solutions was positioned.

Dr. Yim appreciated the product's clean interface compared to denser clinic tools, but the conversation surfaced two gaps: clinics couldn't manually add patients and instead had to wait for patients to register through the app, and doctor notes only reached patients at certain stages rather than supporting continuous communication. He also noted that trust would come from operational dependability, not just expanding to more clinics.
